Who is responsible for your data

  • RM Copy and Print Solutions Ltd, Lower Main Street, Graiguenamanagh, Co. Kilkenny, R95 YX9F, Ireland, is the data controller for the information described here.
  • Questions about your data, or a request to see or delete it, go to sales@copyandprint.ie or +353 (0) 53 9102413. We respond within one month.

What we collect

  • Account details: your name and email address when you register, and a password which is stored encrypted.
  • Order details: your name, email, phone number, company name, delivery and billing addresses, Eircode and any notes you add.
  • Enquiry details: whatever you write in the contact form or a quote request, including any model numbers you give us.
  • Payment records: the amount, date and reference of a card payment. Card numbers are entered on Stripe’s own page and never reach our servers.
  • Technical information: the pages you visit, the device and browser you use, and your approximate location by IP address — collected only if you accept analytics cookies.

Why we use it, and our legal basis

  • To quote for and supply what you order, take payment, deliver it and handle returns — necessary to perform our contract with you.
  • To answer enquiries and service calls, and to keep records of what we agreed — our legitimate interest in running the business and supporting customers.
  • To keep VAT and accounting records, including invoices — a legal obligation under Irish tax law.
  • To prevent fraud and misuse of the site — our legitimate interest in protecting the business and our customers.
  • To understand how the site is used and to measure our advertising — only with your consent, which you can withdraw at any time through the cookie banner.

Who we share it with

We never sell your data. We share it only with the providers that make an order work, and only what each one needs.

  • Stripe — card payment processing and fraud checks.
  • DSM Distribution and our other suppliers — to source the goods on your order.
  • Our couriers — your delivery name, address, Eircode and phone number.
  • Google — analytics, advertising measurement, and address lookup when you type an Eircode (Google Maps).
  • Our website platform and email delivery provider — to run the site and send you order and invoice emails.
  • An Garda Síochána, Revenue or a regulator where we are legally required to disclose information.

Where your data goes

Some of these providers process data outside Ireland and the European Economic Area, mainly in the United States. Where they do, the transfer is covered by an adequacy decision or by the European Commission’s standard contractual clauses, together with the provider’s own safeguards.

How long we keep it

  • Orders and invoices: six years from the end of the accounting period, as Revenue requires.
  • Enquiries, quotes and service requests that do not become orders: up to two years, then deleted.
  • Account details: until you close your account, then deleted within 30 days.
  • Analytics data: for the retention period set by Google, currently up to 14 months.
  • Cookie consent choice: until you clear your browser or change your choice.

Your rights

  • You can ask for a copy of the personal data we hold about you.
  • You can ask us to correct anything inaccurate, or to delete data we no longer need.
  • You can ask us to restrict what we do with it, or object to processing based on our legitimate interests.
  • You can ask for your data in a portable format.
  • You can withdraw consent to analytics and advertising cookies at any time — see our cookie page.
  • If you are unhappy with how we have handled your data, you can complain to the Data Protection Commission at dataprotection.ie. We would appreciate the chance to put it right first.

Cookies

The site uses a small number of cookies and browser storage entries. Our cookie page lists them and lets you change your choice.

Keeping your data safe

The site runs over an encrypted connection. Access to customer records is limited to staff who need it, and payment details are held by Stripe rather than by us.

Changes to this policy

If we change how we use personal data, we will update this page and the date at the top. Where the change is significant, we will tell account holders by email.

We use cookies to keep your basket working and to understand how the site is used. You can accept all cookies or only the ones the site needs to run.
